Executive Assistant

This role will provide administrative support to the SVP & GM, Global Rare Disease Program, CSO, MD and Head of Oncology Programs and VP Statistical Sciences as needed.

Providing 24/7 support to GM, Global Rare Disease Program for WuXi NextCODE.  This role has responsibilities which include customer-facing duties, complex scheduling over multiple continents, with the goal of providing seamless and unobtrusive assistance.

This role will also provide administrative support to the CSO, MD and Head of Oncology Programs and VP Statistical Sciences as needed.

The Executive Assistant should possess the following:

  • Strong writing and clear, concise communication skills to provide information clearly and succinctly while providing high quality direct support
  • Organizational planning abilities that will improve operational efforts and goals, not limited to managing complex calendars, coordinating domestic and international travel arrangements, scheduling governance and other meetings, taking meeting minutes and assisting with action-item tracking
  • The ability to format presentations, and manage all logistics of meetings, including RSVP tracking and reporting, space reservations, catering, A/V, etc.
  • Be attentive to budgets and respect the established finance guidelines
  • Handle confidential material with tact and discretion, have good judgment, and needs to be flexible
  • Expected to establish and cultivate good working relationships with your colleagues over many office locations through refined social skills
  • Seamlessly work with multiple staff members and manage competing priorities, meet deadlines, and follow through with accuracy on projects
  • Work independently with minimal supervision and work effectively as part of a team; take initiative; and learn quickly when acquiring new skills


  • 5-10 years of proven experience as an Executive Assistant.
  • Knowledge of office management systems and procedures.
  • Strong knowledge of office equipment and well as proficiency in MS Office.
  • Excellent time management skills, written and verbal communication skills.
  • Strong attention to detail.
